Overview
The ProScaffs Scaffold Management Platform is an internal SaaS tool redesigned to digitize and streamline the company’s entire scaffolding management process — from client enquiry to invoicing. The new system enables seamless coordination between estimators, admin, on-site labor teams, and accounting departments.
Through the redesign, the platform now handles automated enquiries, cost estimation, job allocation, timesheet management, and invoicing, all in one place. This upgrade replaced outdated manual methods, eliminating paper trails and confusion among new employees, while improving visibility, accuracy, and operational efficiency across the organization.
Purpose of the SaaS Product
The goal of the redesign was to modernize ProScaffs’ internal operations by replacing its fragmented paper-based workflow with a unified digital solution that ensures consistency, automation, and transparency.
Key objectives included:
Present data in a visually structured and accessible way.
Enable faster decision-making through real-time job tracking and performance insights.
Provide role-based access and control, ensuring each user interacts only with relevant information.
Reduce manual errors and administrative effort by automating repetitive workflows such as claim updates, approvals, and notifications.
The redesigned app now supports smoother collaboration between field and office teams, providing complete visibility from enquiry creation to final billing.
Problem Statement
Previously, ProScaffs relied heavily on manual paperwork, spreadsheets, and phone-based coordination, which created delays, data loss, and confusion—especially for new team members unfamiliar with the process.
Enquiries were tracked in emails, cost estimations were done manually, and job scheduling was managed through physical boards. This led to errors in job allocation, incomplete timesheets, missed updates, and inconsistent invoicing.
The challenge was to reimagine the internal SaaS platform to make it more intuitive, efficient, and scalable — ensuring that every team member, from estimator to site worker, could manage their tasks with ease and accountability through one unified digital system.

The new design not only simplified the onboarding process for new employees but also reduced manual errors, improved inter-department communication, and enhanced productivity across all levels. This digital transformation positioned ProScaffs as a forward-thinking company that values efficiency, transparency, and accuracy in daily operations.
If there was more time available…
If I had more time, I would focus on integrating real-time analytics dashboards to visualize project performance, cost trends, and workforce productivity. Additionally, introducing mobile accessibility for field teams and AI-driven estimation suggestions could further streamline the process. Conducting usability testing with on-site staff would also help refine the platform’s interaction design, ensuring it fits seamlessly into day-to-day operations.
